General Inquiries

My professor told me I need to take a test in the Department office. Where do I go?

To take exams, go to the Department Office in MS 4.03.62. Please have the name of the instructor, your ID, and the test number you need to take.

I need to leave a message or turn something in to my professor.  Where can I go other than the professor's office?

To leave messages or class assignments for instructors, go to the Department Office in MS 4.03.62. Your note/assignment will be date/time stamped and placed in the instructor’s box.

I don’t know how to get a hold of my professor, or I don’t know where to get a copy of the class syllabus.

The Department Office in MS 4.03.62 will assist you with instructor contact information, office location, and hours.  You can find current syllabi on Blackboard or Bluebook.

Add/ Drop Inquires

I need to add a closed class. What do I do?

To add a closed class, you must print an add form. Form must be signed by your instructor, your advisor, and Department Chair.  Once the add form is complete, take it to the Registrar’s Office in the JPL to get enrolled.

I need to add a class, but I can no longer do it on ASAP.

If you can no longer add a class on ASAP, it is probably because the census date has passed. An add form must be completed with the appropriate signatures; attach a memo stating the reasons for adding the class late; attach a letter from the instructor stating class attendance and/or that the instructor is willing to help you with missed instruction. 

I need to drop a class, but can no longer do it on ASAP.

If you can no longer drop a class on ASAP, it is probably because the drop date has passed. In extenuating circumstances, you can request an administrative drop. However, your administrative drop will not be approved for the following reasons: failing the class, forget to drop the class, no longer want to take the class. Administrative drop forms  must be accompanied by a memo from both the student and instructor. Once your form is complete, take it to the UGAR in MS 4.03.58 for signature. Check the University Calendar for drop dates.

Change of Grade and Grade Grievances

My professor said he/she are going to change my grade. How does this process work?

The change of grade process is initiated by the instructor, not the student. If the class was taken within the academic year the instructor can make changes online, and the student should periodically check their ASAP for the change. If the change is over a year old, then the student can contact the Department to check on the status.

My professor said my grade will be changed, but it has been over a year. Do I need to do anything?

Yes. Change of grade forms that are over a year old need additional paperwork. The student and the instructor need to provide the UGAR with a memo justifying the change..

I can’t get a hold of my professor. Can anyone in the Department help?

Yes. Please see the UGAR in MS 4.03.58 or send an email to andrea.aleman@utsa.edu.

I have a grade grievance. How do I proceed with an appeal?

First, go to the instructor and discuss the issue. If the matter is not resolved, fill out a grade grievance form with the Department (see Martha Luna in MS 4.03.02) and proceed from there.

Independent Studies and Internships

I would like to do an Independent Study. How do I go about registering for the class?

In order to register for an Independent Study, you must first have a faculty member’s consent to work with you. Next, you must fill out an Independent Study form. Once you have your instructor and advisor’s signatures, please see the UGAR in MS 4.03.58 for signatures.

I would like to register for an internship. How does this process work?

Please make an appointment to see the Student Development Specialist II in MS 4.03.58 or call (21) 458-4627.
